How to integrate Fireflies.ai with Capsule using Zapier

Fireflies.ai helps your team transcribe, summarize, search, and analyze voice conversations. With the help of Zapier you can copy call transcriptions into a Contacts history within Capsule.

Prerequisites

  • Your Zapier plan needs to allow for multi-step Zaps.
  • You’ll need to have your Fireflies API key to complete the integration (we cover how to locate this in step 2 below)

How to setup the Fireflies.ai to Capsule Zap

We have created a template to make the process as simple as possible

Below we’ll outline the necessary steps for finding or creating a Contact, after selecting the above template:

Define the Zap Trigger: New Meeting

  1. You should be directed to this step in the template - but if not, select New Meeting as your Trigger event

2. Next Sign into your Fireflies.ai account, link the trigger using the API key which can be found and copied from Fireflies > Integrations > Zapier…You’ll also need to enter the email address associated with your account and then click on the Continue button

Once you’ve clicked Continue you’ll then see additional fields under the Trigger area, these should already be correctly populated for you and you can now click Continue again. We recommend that you test the trigger before moving to the action stage.

Next within the action section, search for Capsule and add an Event in the Zap to ‘Find Contact’ then click Continue.

3. Select your Capsule account, click Continue and you’ll now need to review the Configure page. The Search using field will be mapped to use the attendee's Email Address, and the Operator and Value field will be mapped as shown in the below screenshot:

F.Y.I - If you want a Contact to be auto-created in the CRM, ensure that the option to “Create Capsule CRM Contact if it doesn’t exist yet?” remains selected. It’s important to highlight that the Contact that is created will be named with the email address and will need to be amended in Capsule after it’s created with the correct First and Last Name. The rest of the mapping will look as follows from the template:

4. You’ll need to click Continue at the bottom of the page when you’re happy with the configuration. Again we recommend testing this stage before you move onto the next step of the process, which is the Add note to Entity section.

5. The template will have the action event mapped already, however, you can update this based on preference. Link to the correct Capsule account again, click Continue and then the field mapping will be as shown below on the Configure page:

You may have to select the Activity Type, a note can be used or if you have a specific activity that you’d like Fireflies calls to be tracked with you can select this from the available dropdown.

6. Finally Test and Publish the Zap to ensure that it’s working correctly - you’re now done! The example below shows what you will see in Capsule within the Contact history:
